1. Introduction
JobPilot (“we”, “us”, “our”) provides AI-powered tools to help users improve their job applications, including CV analysis, rewrites, translations, cover letters, ATS scanning, template blending, and bias/audit checks.
We operate in compliance with:
- GDPR (EU General Data Protection Regulation)
- Finnish Data Protection Act (Tietosuojalaki)
- EU AI Act transparency requirements
Your privacy is extremely important to us.
This policy explains what personal data we process, how we process it, and your rights.
2. Data We Do NOT Store
✔ We do NOT store:
- CVs
- Job advertisements
- Cover letters
- Rewrites
- Translations
- ATS scan results
- Bias audit reports
- Any personal data contained inside those documents
All processing happens temporarily in memory during your active session and is automatically deleted when the session ends.
✔ We do NOT maintain user accounts
You are not required to register or log in.
✔ We do NOT create permanent profiles
Your documents and results are not saved or associated with any identity.
3. Data We Temporarily Process
To provide our services, we temporarily process:
- Text you upload (CV, job ad, cover letter)
- Text returned by AI models (rewrite, analysis, translation)
- Results from ATS analysis
- Results from bias & authenticity auditor
- Template blending output (non-personal templates)
- Session state (stored only in your browser)
This data exists only for the duration of your session and is never written to a database or retained.
4. Legal Basis for Processing
Under GDPR Article 6(1)(b), we process your data to provide the service you requested.
We do not process data for:
- Marketing
- Profiling
- Automated decision-making with legal impact
Our AI models simply analyze and rewrite text.
5. AI Processing & Third-Party Providers
To generate your results, we use third-party AI models (such as Grok, OpenAI, or similar providers).
These models process your text only in real time.
We ensure:
- No training on your data
- No retention of your text by third-party models (via strict API configuration)
- No storage outside your active session
We comply with EU AI Act transparency obligations:
You are informed that all generated content is produced by AI.
6. ATS Scanner
When using the ATS scanner:
- Your CV and/or cover letter is analyzed temporarily
- Formatting, keywords, and structure are evaluated
- No data is kept after processing
- No user profile is generated
7. Human-Expert Template Library
JobPilot uses a library of anonymized example CVs and cover letters.
Important:
- Templates contain no real personal data
- Examples used for blending are synthetic or fully anonymized
- User content is never added to this library
8. Bias & Authenticity Auditor
The auditor checks for:
- Bias
- Readability
- AI detectability patterns
It does not store user-generated content and does not create any persistent profile.
9. Payments (Stripe)
If you purchase a premium subscription:
- Payments are processed securely by Stripe
- We do NOT store your card details
- Stripe may process personal data per their own Privacy Policy
- We only receive minimal payment metadata (paid/not paid)
10. Cookies & Analytics
Currently:
- We do NOT use cookies
- We do NOT use analytics
- We do NOT use tracking tools
If analytics are added later (e.g., Plausible), this policy will be updated accordingly.
11. Your Rights (GDPR)
Even though we do not store personal data, you have the right to:
- Request information about your data
- Request correction of inaccurate data
- Request deletion of personal data
- Request limitation of processing
- Object to processing
- File a complaint with the Finnish Data Protection Ombudsman
Because we do not store user documents, most deletion requests will result in:
“JobPilot does not store any personal data, so there is nothing to delete.”
